Filling & Packaging RFQ template & spec checklist
Everything worth specifying when you ask for Filling & Packaging quotes, in one checklist you can copy. It's written for food plants first and works for beverage plants too. Free to copy, no sign-up.
This category covers the equipment that meters product into its primary container and closes it: volumetric and net-weigh fillers, piston and flowmeter fillers, cappers and seamers, and form-fill-seal systems for pouches and cups. Buyers are typically adding a SKU, moving from hand-filling to inline speed, or chasing giveaway losses on an aging filler. Fill accuracy, changeover time between container sizes, and how the wetted path gets cleaned drive most of the engineering, so quotes vary widely in nozzle count, drive type, and sanitary execution. Getting three proposals is the practical way to see who is sizing the machine to your real line rate rather than its nameplate.
What to include in your request
- ▢ Product type and behavior: thin liquid, viscous, particulate, foamy, or hot-fill
- ▢ Container type, material, and the full range of fill volumes in mL or fl oz
- ▢ Target throughput in containers per minute at sustained run rate, not peak
- ▢ Required fill accuracy or the maximum acceptable overfill giveaway
- ▢ Closure type and torque spec: screw cap, crimp, induction seal, or snap lid
- ▢ Wetted materials, and whether 3-A sanitary design and CIP or SIP of the fill path are required
- ▢ Compressed air quality, electrical supply, and the line length available for the machine
What drives the quote
- Number of filling heads and the metering technology
- Automation level: semi-automatic, inline, or rotary monobloc
- Change-part sets for each additional container format
- Sanitary design level and CIP or SIP capability
- Contact-part material upgrades and inert-gas flushing or vacuum options
Common spec mistakes to avoid
- Quoting nameplate speed instead of the realistic rate after changeovers, jams, and efficiency losses
- Under-specifying the container range, then buying change parts later as expensive add-ons
- Ignoring headspace, foaming, or stringing behavior that a given nozzle cannot handle
- Failing to define fill accuracy, so giveaway quietly erodes margin
- Overlooking whether the filler must be cleaned in place or disassembled every shift
Lead time
Lead time tracks with automation level: a semi-automatic bench filler ships far sooner than an integrated monobloc filler-capper carrying change parts for several container families. Custom change parts and integration with upstream and downstream equipment are the usual long poles.
How to use this template
Fill in the bracketed parts, delete what doesn't apply, and send the same version to every supplier so the quotes come back on the same terms. Or start a request and our agents send it for you.
